1. Scope
This Privacy Policy draft explains how personal data and document-related information may be handled during the controlled demo and pilot preparation stage of SpecBridge AI.
SpecBridge AI is not yet positioned as a production SaaS service. The current website and pilot interest form are static/mockup unless a backend, consent mechanism and data handling process are explicitly activated.
2. Data Categories
Potential data categories may include:
- Contact data: name, surname, email, company, role
- Company information: organization name, business context, tender volume
- Pilot interest data: use case, message, feedback
- Document metadata: file name, document type, upload timestamp, analysis package reference
- Tender/RFP content: only if explicitly provided for controlled pilot or demo testing
3. Sensitive Tender Documents
Tender, specification and RFP documents may contain sensitive commercial, technical, contractual or legal information.
Real customer documents must not be uploaded or processed before:
- Explicit customer approval
- Privacy/KVKK notice
- Data retention policy
- File deletion policy
- Security review
- Pilot disclaimer acceptance
4. Processing Purposes
Data may be processed for:
- Responding to pilot/demo interest
- Understanding relevant use cases
- Preparing controlled demo sessions
- Improving sample report structure
- Collecting pilot feedback
- Managing security and deletion requests
5. Data Sharing
Data must not be shared with third parties unless required for:
- Legal obligation
- Security operations
- Hosting or infrastructure providers
- Explicitly approved pilot support
Any third-party processor must be reviewed separately before production use.
6. Retention
Pilot interest data and demo-related files must follow the separate Data Retention Policy.
Real tender documents should be deleted after the agreed pilot review window unless a written exception exists.
7. Advisory Output Only
SpecBridge AI outputs are advisory decision-support materials.
They do not constitute:
- Legal advice
- Final compliance approval
- Binding bid/no-bid decision
- Official procurement opinion
- Customer-specific contractual advice
